The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details, In Case of Emergency details, payment details, website user stats)

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You signed up for the newsletter

  • You registered interest in our services or used the contact form

  • You have signed up for our services
     

We use the information that you have given us in order to:

  • Send a newsletter (if you signed up)

  • Respond to your enquiry

  • Confirm your booking/payment

  • Advise of any changes or important information relating to your booking
     

We may share this information with Mailchimp (used to store our contact lists and for issuing our newsletters)


Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by emailing info@wholeselfwellbeing.com

(b) We have a contractual obligation.

(c) We have a legal obligation.

(d) We have a vital interest.

(e) We need it to perform a public task.

(f) We have a legitimate interest.

 

How we store your personal information

Your information is securely stored.

We keep your personal information stored both digitally and in paper format. Digital data will be stored on our computer records and backed up to cloud storage and external back-up drives. Paper records will be stored in a locked cabinet. We will periodically (2x annually) cleanse our data and if twelve months have passed since the last direct interaction between us (i.e. email enquiries/communication, bookings etc – not newsletters) we will email you to advise that we will be deleting your details in 30 days unless we receive notification from you that you would like to be kept on our records and/or would like to receive the newsletter.
 

If you had only ever signed up for the newsletter, your data will remain in situ until we receive your notification to be removed (including as an option on every newsletter) or the business ceases to operate.

If opting to have your data removed, we will dispose your information by deleting the digital data from our records, back-ups and email/other digital communications as well as shredding any paper records.

The same process will be undertaken should the business cease to operate within three months of business closure.

 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
